Join a well-established organization and advance your career. Aplin is currently seeking a Facilities Coordinator to support a busy facility in St. John’s, NL. This is a temporary contract opportunity until October 31, with the possibility of extension. 

This is an exciting opportunity for an organized and personable professional to play a key role in supporting the day-to-day operations of a busy facility. You will be responsible for coordinating internal and external events, supporting building occupants, liaising with vendors and service providers, maintaining reports, and helping ensure the facility operates smoothly.

  • Compensation: $23–$27/hour
  • Start ASAP 
  • Temporary contract through October 31, with possibility of extension
  • Monday to Friday, approximately 8:00 AM–4:00 PM or 8:30 AM–4:30 PM
  • Fully on-site in St. John’s, NL 
  • Training will be provided on site access and internal processes
Responsibilities
  • Coordinate support for internal and external events held within the facility, including room setup, signage, equipment, cleaning, security, and vendor coordination
  • Liaise with internal stakeholders to understand and coordinate event and facility requirements
  • Serve as a point of contact for building occupants, vendors, and the facilities team to help ensure issues are addressed in a timely manner
  • Monitor facility-related issues and escalate irregularities or urgent matters as required
  • Coordinate with third-party suppliers and service providers to support building maintenance and ensure services are delivered as required
  • Assist with facility-related projects, including renovations, equipment installations, inspections, and other operational initiatives
  • Support the continuous improvement of office and facility services by identifying needs and coordinating action plans
  • Coordinate day-to-day facility operations and assist with various projects and initiatives
  • Help plan and coordinate company events, such as staff celebrations, holiday events, and summer BBQs
  • Generate and maintain reports related to security, facility operations, FTEs, vendors, and performance
  • Follow up with internal teams and external service providers to ensure outstanding items are addressed
  • Support general administrative and coordination activities related to facility operations
  • Assist with moving boxes, materials, and other items as required; this is not a hands-on maintenance or repair position
  • Perform other duties and coordination responsibilities as required
Qualifications
  • Previous experience in facilities coordination, office services, operations coordination, workplace services, administration, or a similar role is an asset
  • Experience working in a facilities or building environment is strongly preferred
  • Strong interpersonal and communication skills with the ability to work effectively with employees, vendors, contractors, and internal stakeholders
  • Highly organized with strong attention to detail and follow-up skills
  • Ability to manage multiple priorities and coordinate several activities at once
  • Strong problem-solving and judgment skills, with the ability to identify issues and escalate them appropriately
  • Proactive and service-oriented approach with a willingness to take ownership of tasks
  • Comfortable working independently while also collaborating with a broader facilities and operations team
  • Strong computer skills and ability to learn new systems and processes
  • Previous experience coordinating vendors, service providers, events, or facility-related activities is an asset
  • Must be available to work on-site five days per week
  • Must be comfortable working in a facility environment and assisting with light physical tasks such as moving boxes or materials
  • No trade, engineering, or hands-on maintenance background is required
