Aplin is pleased to partner with a long-standing client to recruit an Corporate Legal Assistant (Intermediate) to join their dynamic team. Reporting to a Partner at the firm, this role is ideal for someone with a solid foundation in corporate law and real estate, and the ability to manage a high volume of legal administrative work with accuracy and efficiency. There is an opportunity to work from home one day a week.

Document Preparation & Legal Support
  • Draft and prepare correspondence, contracts, and other legal documents
  • Conduct thorough searches (SPIN, CORES, APPRES, property, and individual due diligence) and efficiently navigate the ALF database
  • Collaborate closely with the Corporate Department, adhering to established corporate practices
  • Prepare annual returns and maintain familiarity with Minute Book contents
  • Perform additional administrative tasks as requested (e.g., expense reimbursements, filing)
Practice Coordination
  • Follow established procedures for email management, file organization, conflict searches, and opening/closing files
  • Ensure all client correspondence is properly saved in the document management system (NetDocs)
  • Coordinate all incoming and outgoing mail
  • Maintain client file lists and tracking as required
  • Schedule appointments and meetings as directed, and manage calendars to diarize key dates and deadlines
  • Execute verbal and written instructions from your supervisor efficiently and accurately
Accounting & Financial Administration
  • Prepare and process client bills and invoicing instructions as directed
  • Process write-offs in accordance with the supervisor’s instructions
  • Receive and record funds into trust accounts, following firm and Law Society of Alberta protocols
  • Ensure all practice-related data—including lawyer time entries and task lists—is accurately entered into accounting software (Acumin)

Client Communication
  • Draft routine client correspondence under supervisor guidance
  • Respond to basic client inquiries as directed

Firm & Team Collaboration
  • Coordinate effectively with other departments, including Accounting, Corporate, Residential Real Estate, Litigation Support, and Operations
  • Participate in operational and practice-area team meetings, including staff meetings and training & development sessions
Education & Experience
  • Post-secondary education in legal administration, paralegal studies, or equivalent;
  • Minimum 5 years of experience as a legal assistant;
  • Proficient in Microsoft Office Suite, Adobe, and legal software (including NetDocs and Acumin);
  • Excellent organizational and multitasking skills;
  • Strong communication and interpersonal abilities; and
  • Demonstrated commitment to upholding confidentiality and professional standards
