We are seeking a highly professional and proactive Executive Assistant to support senior leadership within a professional, fast-paced, regulatory environment. This is a 6-month contract with strong potential for extension or long-term opportunity.
This role offers a unique, flexible schedule and will be in office downtown Calgary:
  • First 2 weeks of each month: Part-time (3 days/week)
  • Last 2 weeks of each month: Full-time hours
Ideal for someone who thrives in a structured environment but values variety and flexibility in their schedule.

What You’ll Be Doing
  • Manage complex calendars and coordinate meetings for multiple senior stakeholders
  • Arrange travel, accommodations, and expense reporting
  • Prepare high-quality briefing materials to support executive decision-making
  • Support confidential meetings, including minute-taking and tracking action items
  • Maintain accurate records, dashboards, and e-filing systems
  • Proofread and edit professional documents for accuracy and clarity
  • Identify opportunities to improve administrative processes and efficiency
  • Coordinate logistics for meetings, events, and professional functions
  • Build strong working relationships with internal teams and external stakeholders
  • Provide backup support across the administrative team as needed

What You Bring
  • 6–10 years of experience supporting senior executives in a professional environment
  • Exceptional organizational skills and ability to manage competing priorities
  • Proven ability to handle confidential information with discretion
  • Strong written and verbal communication skills with a high attention to detail
  • Comfortable with digital tools, reporting systems, and collaboration platforms
  • Ability to work both independently and as part of a collaborative team
  • Experience in regulatory, government, legal, or professional services environments is an asset
