An established architectural and design-focused professional services firm is seeking a seasoned Office Manager who understands how designers and architects work and can seamlessly step in to support the operational rhythm of a busy studio environment. This is a newly created role intended for an experienced professional who brings confidence, sound judgment, and the ability to anticipate needs—someone who has supported technical, creative teams before and knows how to keep the business side running smoothly.

This role is ideal for an individual with years of hands-on experience in professional services, architecture, engineering, or design environments who can quickly integrate, provide stability, and act as a trusted operational partner to leadership and staff.

The position offers consistent, part-time hours with regular in-office presence and flexibility across the workweek. While start timing is flexible, the priority is finding a strong long-term fit who can grow with the firm.
 
Key Responsibilities
  • Own and manage the day-to-day operations of the office to ensure a polished, efficient, and well-functioning studio environment
  • Serve as a central point of coordination for architects, designers, leadership, consultants, vendors, and service providers
  • Support the workflow of technical and creative teams by coordinating schedules, meetings, deadlines, and shared resources
  • Anticipate operational needs and proactively resolve issues before they impact project delivery
  • Provide senior-level administrative support, including calendar management, document coordination, and internal communications
  • Support onboarding, offboarding, and general people operations with discretion and professionalism
  • Maintain internal systems, office documentation, templates, and light reporting
  • Oversee office supplies, equipment, shared spaces, and studio presentation
  • Coordinate technology needs, software subscriptions, and liaise with external IT support
  • Handle errands, deliveries, and off-site tasks as required (valid driver’s license and vehicle required)
  • Support studio culture through event coordination, hospitality, and thoughtful operational touches
  • Step in where needed—handling both strategic coordination and hands-on tasks to keep the office and projects moving
Qualifications & Attributes
  • 7+ years of experience in office management, operations, or senior administration within architecture, design, engineering, or professional services environments
  • Strong understanding of how architectural and design studios operate, including project-based workflows and deadline-driven teams
  • Highly organized with the ability to manage competing priorities independently and calmly
  • Confident, polished communicator with strong interpersonal skills
  • Trusted judgment and discretion when handling sensitive staff and business matters
  • Proactive and self-sufficient; able to quickly assess needs and take ownership without detailed direction
  • Comfortable working alongside senior leaders and supporting experienced professionals
  • Hands-on, practical, and solutions-oriented
  • Reliable, detail-focused, and deeply accountable
  • Appreciates creative cultures while maintaining operational structure and professionalism
Role Details
  • Schedule: Approximately 4 hours per day, Monday–Friday preferred
  • Work Style: In-office
