The Executive Assistant will also help with admin responsibilities for the office. This will include contracts, legal documents, and general office management responsibilities.

About The Opportunity
The Executive Assistant will directly support the owners of this boutique development company. The successful Executive Assistant will manage calendars, scheduling and project work. The Executive Assistant will also help with admin responsibilities for the office. This will include contracts, legal documents, and general office management responsibilities.
About The Position
- Oversee all incoming and outgoing communications for the executives, including emails, phone calls, reports and internal correspondence.
- Process and maintain all correspondence and materials received by the executives.
- Ensure the maintenance and filing of documents, both hard copies and digital copies.
- Maintain and coordinate the executive’s calendar.
- Prepare, maintain and prioritize tasks for the executives.
- Assist with executive expense reports and corporate financial submissions.
- Work with the legal administrator to maintain corporate structure and ensure all companies/trusts are in good standing, such as with annual reports, resolutions and certifications.
- Track and review fees and relevant correspondence for direct-to-ownership companies and property related matters.
- Coordinate actionable tasks and communications between the owners and internal departments.
- Oversee the administration department and office manager, such as with office organization, filing, procuring and organizing supplies as well as event planning.
- Assist in ad hoc projects and tasks for the owners.
- 3 years in a Senior Administrator, or Executive Assistant position.
- Prior experience supporting Senior leadership is a requirement.
- Strong organization and time management skills are required.
- Calendar management, scheduling, and professional correspondence experience is required.
- Experience with legal or insurance documentation.
- Strong communication skills.
- Real Estate Development industry experience is desired.
- Valid Driver's License is required; access to a vehicle is an asset.
- Annual salary $75,000 - $85,000 depending on experience.
