Aplin is seeking a meticulous and dependable Document Digitization Specialist to support the conversion of sensitive physical records into secure digital formats to support our client in Downtown Vancouver. This role involves both hands-on work organizing and preparing physical files, as well as technical tasks such as scanning, digitizing, and maintaining electronic archives. The ideal candidate is detail-oriented, values accuracy, and understands the importance of maintaining confidentiality throughout the digitization process.

The project is set to start in mid-June for two months, with the potential of extension.

Salary Range: 
$21.00/hr - $24.00/hr

Responsibilities:

  • Sort, label, and organize physical records in archive storage areas
  • Prepare documents for scanning by removing staples and grouping files by category or date
  • Operate high-resolution scanners to digitize physical documents
  • Use OCR software to convert scanned images into searchable PDF files
  • Apply consistent file naming conventions and categorize digital files accurately
  • Tag digital documents with relevant metadata, such as dates, categories, and document types
  • Store digital files securely using platforms like Google Drive
  • Monitor and log digitization progress using spreadsheets or task management tools
  • Review scanned files for accuracy and report any damaged or illegible documents
  • Maintain strict confidentiality when handling sensitive or classified materials
Required Qualifications:
  • Comfortable using computers and cloud-based tools like Google Drive and Google Sheets
  • Experience operating document scanners and using OCR software
  • Knowledge of digital file organization and document control systems
  • Excellent attention to detail to ensure precise and error-free digital records
  • Strong organizational skills for managing both physical and digital materials
  • Understanding of document security and access control protocols
  • Ability to work independently and meet productivity goals
  • Previous experience handling confidential records in legal, HR, finance, or medical settings is an asset
  • Background in records management, administrative support, or library work is preferred
  • Physically capable of working in storage areas and lifting/moving document boxes when necessary
