The role will also allow for some document specialist work, requiring the ideal candidate to be proficient in Litera Compare and Kofax.

About the Position
This role involves supporting legal professionals by preparing and managing corporate documents, handling administrative tasks, and ensuring the efficient operation of legal files.
The Responsibilities:
- Draft, edit, and finalize legal documents and correspondence using transcription or copy-typing methods.
- Provide comprehensive administrative assistance, including preparing expense reports, courier documentation, and new file openings.
- Manage document production tasks such as photocopying, scanning, filing, and binding for distribution.
- Schedule and confirm meetings, appointments, and conference calls.
- Assist with monthly billing by generating and reviewing pre-bills.
- Coordinate travel arrangements and reservations when needed.
- Prepare and update minute books and corporate records.
- Maintain organized and up-to-date records of correspondence, invoices, and receipts in both digital and hard copy formats.
- Conduct file maintenance and archival duties in line with firm guidelines.
- Support special projects and contribute to team initiatives as assigned.
- Completion of a Legal Assistant Diploma from a recognized institution.
- A minimum of 5 years’ experience in law firm.
- Familiarity with document management systems (DMS) is essential.
- Strong document handling capabilities with a focus on complex corporate and transactional work.
- Advanced proficiency in Microsoft Word, Outlook, and calendar management.
- Skilled in formatting, blacklining, and editing technology-related legal documents.
- Excellent transcription and proofreading skills.
- Comfortable creating basic Excel spreadsheets and PowerPoint presentations.
- Experience with billing systems, especially 3E, is highly desirable.
