Our client is looking for a capable administrative professional to join their Surrey-based team and provide day-to-day coordination across their governance and leadership functions. About The Opportunity
Working closely with the Manager, Board Governance & Executive Office, this position will help keep a wide range of meetings, schedules, travel arrangements, expenses and documentation organized and on track. You will work with Board members, committee members, senior leaders and internal teams, providing responsive administrative support and ensuring the details are handled from start to finish.

The successful candidate will be someone with good judgment who can work independently, anticipate what needs to be done and confidently manage day-to-day responsibilities without requiring constant direction. About The Position
  • Coordinate Board and committee meetings, including scheduling, invitations, meeting rooms, virtual meetings, catering and other logistical requirements.
  • Maintain meeting calendars, attendance records, membership information and administrative deadlines.
  • Assist with the preparation, organization and distribution of Board and committee materials.
  • Track outstanding documents, information and follow-up items and ensure deadlines are met.
  • Arrange travel, accommodation and itineraries for Board members and other authorized participants.
  • Process expense reports, organize receipts and supporting documentation, and coordinate submissions with Finance.
  • Coordinate invoices and other administrative documentation related to Board and Executive Office activities.
  • Provide general administrative support to the Manager, Board members, committees and Executive Office.
  • Maintain organized electronic records, files, templates and administrative documentation.
  • Coordinate signatures, printing, courier services and other administrative requirements.
  • Handle confidential and sensitive information with discretion.
  • Assist with special projects and other administrative responsibilities as assigned.
The Requirements
  • 3+ years of administrative experience in a professional office environment.
  • Post-secondary education in Office Administration, Business Administration or a related field is required.
  • Previous experience supporting a Board of Directors and/or formal committees is required.
  • Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines.
  • Exceptional attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Ability to work independently, exercise sound judgment and take ownership of responsibilities.
  • Professional and confident when interacting with senior leaders, Board members and external stakeholders.
  • Experience coordinating meetings, travel, expenses and detailed administrative processes.
  • Strong proficiency with Microsoft 365.
Compensation
  • Annual salary of $55,000–$65,000, depending on experience. Candidates at the top of the range must meet all position requirements.
