Our client, a prominent professional services organization with offices located in Downtown Toronto and Etobicoke, is seeking a detail-oriented Legal Administrative Assistant to join their legal support team in a fast-paced and highly professional environment. Please note, this is a fully on-site role.
Working closely with Lawyers, Law Clerks, and Legal Support staff, this role will support daily administrative and file management functions while ensuring efficient operations and exceptional internal client service. Compensation & Benefits
- Salary: $50,000 – $60,000

- Ability to work fully on-site from either the Downtown Toronto or Etobicoke office
- Manage electronic and physical client files in accordance with internal procedures
- Open, close, organize, and archive client files accurately and efficiently
- Support document scanning, uploading, filing, and organization through iManage and related systems
- Maintain file labeling, document organization, and records management standards
- Assist with billing preparation, including pre-bills, invoice formatting, and related administrative tasks
- Prepare engagement letters and supporting documentation based on lawyer instructions and templates
- Support conflict searches and Know Your Client (KYC) intake procedures
- Maintain and update client and contact information within internal management systems
- Retrieve and coordinate files from off-site storage as required
- Provide administrative support to Lawyers, Law Clerks, and legal support staff while prioritizing competing deadlines in a fast-paced environment
- Legal Administrative Assistant certificate or diploma from an accredited program
- 1–2 years of experience within a law firm or professional services environment
- Strong proficiency with Microsoft Office Suite, particularly Word and Outlook , with basic Excel skills required
- Experience with iManage or similar document management systems is strongly preferred
- Exposure to billing, pre-billing, conflict checks, or KYC processes is considered an asset
- Familiarity with client management systems, CRM tools, or records management processes is an asset
- Excellent written and verbal communication skills
- Strong attention to detail and organizational abilities
- Ability to manage multiple priorities effectively within a high-volume environment
- Professional, reliable, and client-service oriented demeanor
- Strong teamwork and interpersonal skills with the ability to work independently and follow established procedures closely
