As part of an initiative to strengthen payroll tax operations across Canada, the Payroll Operations team is seeking a driven Senior Provincial Payroll Tax & Compliance Specialist to lead and stabilise multi-province payroll tax compliance and build robust processes and documentation. This role is ideal for a subject-matter expert who combines hands-on execution skills with the ability to educate, document, and transfer knowledge effectively.
This is a contract role for 2 months with potential of extension

Key Responsibilities
Provincial Payroll Tax Administration
- Lead management of provincial payroll tax remittances including workers’ compensation and employer health tax requirements.
- Execute timely and accurate monthly, quarterly, and annual payroll tax filings across jurisdictions.
- Reconcile and validate payroll tax calculations and remittances.
- Navigate provincial government portals to complete submissions and resolve issues.
- Maintain up-to-date knowledge of payroll tax legislation across ~7 provinces.
- Clarify differences and ensure compliance with deadlines and reporting standards.
- Support year-end and annual employer reporting.
- Demonstrate proficiency navigating complex government tax portals (e.g., provincial WCB and finance platforms).
- Document step-by-step procedures for accessing and submitting filings in each jurisdiction.
- Troubleshoot portal access challenges and propose workflow efficiencies.
- Create and maintain a comprehensive payroll tax procedures manual.
- Build standardized documentation for remittances (WCB, EHT, annual filings).
- Develop compliance checklists and timelines.
- Identify and address risks or gaps in existing processes.
- Provide hands-on coaching to new payroll hires and team members.
- Translate complex legislative requirements into clear, actionable procedures.
- Deliver structured knowledge transfer sessions to enable team autonomy.
- Work with payroll systems to ensure provincial tax processes align with system outputs.
- Assist in validating payroll data and reports for compliance accuracy.
- Experience with or exposure to UKG systems is an asset.
- 5+ years of progressive Canadian payroll experience, including multi-province payroll tax and compliance.
- Deep understanding of provincial taxes and remittances, including WCB administration and Employer Health Tax (EHT).
- Strong practical experience with government portals and provincial filing processes.
- Exceptional documentation, process design, and procedural writing skills.
- Ability to work independently in a project-focused engagement with minimal supervision.
- Ability to coach and transfer knowledge effectively to others.
- Experience in or familiarity with UKG payroll systems.
- PCP/PLP designation or equivalent Canadian payroll certification.
