The Opportunity
Reporting to the General Manager, the Administrative Specialist plays a key role in front desk operations, office administration, stakeholder communication, and event support. This position requires strong organizational skills, sound judgment, and a proactive approach to problem-solving, along with the ability to balance routine administrative tasks with more complex coordination responsibilities.

Responsibilities:
  • Act as the primary point of contact for incoming calls, visitors, and general inquiries, ensuring a professional and welcoming front office experience
  • Provide administrative support including preparing, editing, and distributing correspondence, reports, presentations, minutes, and other documentation
  • Manage day-to-day office operations, including supplies, equipment, facilities, mail, couriers, and basic technology coordination
  • Maintain accurate records, files, and data to support reporting and organizational needs
  • Support communication with members, stakeholders, and the public, responding to routine inquiries and directing issues as appropriate
  • Assist with planning and coordinating meetings and events, including logistics such as venues, catering, registration, travel, and audio-visual needs
  • Provide administrative and logistical support for Board of Directors and committee meetings, including preparation and distribution of materials
  • Identify opportunities to improve administrative processes and contribute to workflow efficiencies
  • Participate in organizational initiatives, professional development activities, and other duties as assigned
