This full-time permanent role will be based out of their head office in Winnipeg.

The Opportunity
In this pivotal role, you will support multiple senior executives and help ensure the smooth, efficient operation of the Executive Office. You’ll manage high-level meetings, coordinate cross-departmental activities, prepare polished documentation, and act as a key partner in maintaining executive-level communication, organization, and follow-through.

What You’ll Do
  • Coordinate bi-weekly senior leadership meetings, including agenda preparation, gathering materials, attending meetings, and drafting accurate, high-quality minutes.
  • Support committee activities in collaboration with the Corporate Secretary.
  • Provide executive-level calendar and administrative support to multiple C-suite executives, ensuring seamless scheduling, communication, and meeting preparation.
  • Lead logistics for complex, multi-stakeholder meetings across departments and external partners.
  • Assist the Executive Assistant to the CEO with a variety of administrative tasks and office coordination.
  • Prepare agendas, correspondence, action-item lists, and professional meeting materials for executives and board-related functions.
  • Track and follow up on key action items to ensure timely completion.
  • Assist with internal and external event planning, including invitations, vendor coordination, materials, and on-site support.
  • Manage executive and board expense processing and monthly reconciliations.
  • Act as a trusted backup to the Executive Assistant and broader admin team during absences or peak periods.
  • Attend board meetings as required and produce clear, comprehensive minutes.
  • Coordinate executive travel and conference arrangements.

What You Bring
  • 5+ years of senior-level administrative or executive assistant experience.
  • Post-secondary education in Business Administration or a related field (or equivalent experience).
  • Proven strength in minute-taking and supporting executive or committee meetings.
  • High proficiency in MS Office (Word, PowerPoint, Excel) with excellent accuracy and formatting skills.
  • Exceptional written and verbal communication abilities.
  • Strong prioritization and organizational skills with the ability to manage competing deadlines.
  • Forward-thinking problem-solving skills and the ability to anticipate needs.
  • A high degree of professionalism, confidentiality, and independent judgment.
  • Collaborative mindset with a commitment to exceptional internal service.
