You’ll play a key role in ensuring the smooth day-to-day operations of the office—balancing front desk reception duties with a variety of administrative and clerical responsibilities. The ideal candidate is social, kind, professional, and eager to contribute to a team that values collaboration, efficiency, and strong communication.

What You’ll Do
  • Greet and assist visitors, answer and direct incoming calls, and maintain a welcoming front office environment
  • Manage phone systems, update voicemail settings, and coordinate changes for new users and holidays
  • Prepare and assemble financial statement packages, personal tax returns, and related documents
  • File, e-file, and archive government forms, correspondence, and electronic data
  • Draft, format, and finalize client correspondence and reports
  • Prepare courier packages and coordinate deliveries to clients and agencies
  • Process payments, prepare deposits, and enter data into internal systems (TPS, QuickBooks, etc.)
  • Maintain office supplies, postage meters, photocopiers, and printers
  • Open and distribute mail, emails, and faxes daily
  • Support office upkeep—organizing common spaces, sanitizing between meetings, managing kitchen duties, and ordering groceries
  • Assist with internal bookkeeping, including posting invoices, bills, and reconciliations
  • Coordinate staff lunches, social events, and other team-building activities
  • Provide general administrative support to partners and team members
What You Bring
  • Strong technical proficiency with Microsoft Outlook, Excel, and Word (testing required)
  • A quick learner who asks questions, takes initiative, and enjoys supporting others
  • Excellent communication and interpersonal skills—you’re approachable, social, and professional
  • High attention to detail, particularly in written communication and document handling
  • Self-motivated with the ability to adapt to both busy and quieter office periods
  • Comfortable learning and using new systems such as QuickBooks, DocuSign, Docket, or TPS
  • Previous experience in a small office environment (such as a law firm, dental office, or professional services setting) is an asset
