In this role, you’ll work under the direction of the Executive Assistant to the President, contributing to the smooth and efficient operation of the executive office. You’ll manage multiple priorities with discretion, accuracy, and professionalism — all while maintaining strict confidentiality and a calm, solution-focused approach.

- Manage calendars and meeting schedules for members of the Senior Leadership Team, ensuring seamless coordination and communication.
 - Prepare, proofread, and distribute correspondence, agendas, reports, and meeting materials; record and track action items and meeting minutes.
 - Coordinate travel arrangements for Senior Leadership and Board Members in collaboration with the corporate travel provider.
 - Process invoices and monthly credit card reconciliations accurately and on time.
 - Support the planning and execution of meetings and corporate events — including logistics, vendor coordination, and on-site assistance as required.
 - Prepare meeting rooms and ensure all supplies, equipment, and materials are ready in advance.
 - Provide administrative support to special initiatives and committees, including community relations and foundation-related projects.
 - Serve as a backup to other Executive Administration team members during absences or peak periods.
 
- Minimum of 3 year of related experience in a senior-level administrative or executive assistant role.
 - Post-secondary certificate or diploma in Administration or a related field.
 - Advanced proficiency in Microsoft 365 (Word, Excel, PowerPoint, SharePoint, OneDrive) with a strong eye for detail and accuracy.
 - Outstanding written and verbal communication skills, including the ability to craft polished correspondence and professional documents.
 - Proven ability to manage multiple priorities, meet tight deadlines, and adapt quickly to changing needs.
 - Highly organized, self-motivated, and able to work independently with minimal direction.
 - Demonstrated discretion, sound judgment, and professionalism when handling confidential information.
 - A collaborative, team-oriented approach with a strong commitment to service excellence.
 - Willingness and flexibility to work outside of regular business hours as required for events or urgent priorities.
