We are seeking an organized and proactive Project Administrative Support professional to assist with coordinating and tracking several ongoing projects within the continuing care sector.
This role will provide essential support to project leads by helping develop workplans, track progress, coordinate meetings, and compile reporting updates. It’s a fast-paced environment with shifting priorities, making it ideal for someone who thrives on organization, communication, and teamwork. This is a 3-month, in-office term position (with potential to move to hybrid) starting within 1–2 weeks.

Responsibilities
- Assist with developing and updating project and implementation workplans for various sub-projects
- Coordinate and schedule regular team meetings (3–5 per week), prepare agendas, and capture meeting notes/action items
- Track progress on deliverables, timelines, and milestones, flagging any delays or issues to project leads
- Compile and maintain project documentation and support preparation of status reports for senior leadership
- Update and maintain project tracking tools and shared folders to ensure information is current and organized
- Liaise with multiple internal teams of varying sizes to gather updates and ensure alignment on tasks
- Provide general administrative support to project teams, including calendar coordination, document formatting, and information management
- Experience providing administrative or coordination support on projects, preferably within government or public sector settings
- Familiarity with continuing care or health care environments is an asset
- Strong organizational skills with the ability to manage multiple priorities and deadlines in a fast-paced environment
- Excellent written and verbal communication skills for meeting coordination and status reporting
- Comfortable working with evolving priorities and able to adapt quickly to changing direction
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic project tracking tools
- Team-oriented mindset with the ability to work collaboratively with a variety of stakeholders
- Availability to work full-time (8:15–4:30) in-office, with potential to move to hybrid after the initial onboarding period
