We are working with a highly regarded national law firm, recognised for its excellence across multiple practice areas. As part of their continued investment in operational excellence, they are seeking a dedicated Intake and Conflicts Coordinator to join their group.

Their Intake and Conflicts Department plays a crucial role in ensuring the integrity and compliance of the firm's client onboarding and matter management processes. Purpose of the Role
The Intake and Conflicts Coordinator supports the firm in managing potential conflicts of interest, maintaining confidentiality screens, and ensuring compliance with internal and regulatory onboarding procedures. This position ensures that all client and matter intake processes align with firm policies and legal obligations, contributing to operational excellence and risk mitigation.

About the Position
  • Conduct new business conflict searches and analyse results
  • Review intake requests for compliance with firm policies
  • Maintain and update client/matter data (e.g., name changes, reopenings)
  • Support urgent conflicts searches during extended business hours
  • Provide "on-call" support on a rotational basis (approx. one week every two months)
  • Set up and manage confidentiality screens
  • Coordinate onboarding of new professionals and staff (lateral hires)
  • Review and record engagement letters and Know Your Client (KYC) information
  • Perform due diligence checks
  • Complete full new business intake procedures
  • Perform other duties as required
The Requirements
  • Minimum 3 years of experience in a legal environment (preferred)
  • Bilingual in English and French is an asset
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, Adobe Acrobat)
  • Experience with legal software such as Intapp Open, CMS Aderant, Progress, and World-Check is an asset
  • Exposure to Intellectual Property law is a plus
  • Strong understanding of legal ethics and lawyer-client relationship regulations
  • Working knowledge of conflicts of interest principles and procedures
  • Comfortable working under pressure in a time-sensitive environment
  • Willingness to work overtime when required
Compensation
  • $55,000 - $65,000 depending on experience.
  • Predominantly remote position, with occasional travel to the office.
  • Strong benefits package.
