This is a part-time position, working five days a week from 1 pm – 5 pm. This position will be a hybrid role working a mix of downtown and working remotely. Our client, a medical organization, is seeking a skilled individual to provide confidential and advanced administrative support to the Executive department. This role requires an advanced user of Microsoft Word, Excel and PowerPoint.

Responsibilities:
  • Provide client-focused administrative support to the Executive Department
  • Reviewing correspondence
  • Handle telephone inquiries
  • Planning and coordinating meetings (attendee and facility setup)
  • Transcribing meeting minutes
  • Preparing professional correspondence and documentation for the Executive Department (must have strong corporate writing skills)
  • Distribution of communication materials
  • Creating Board packages and agendas
  • Planning events (small and large scale-venue selection, catering, registration management, vendor contracting, on-site event support)
  • Liaising with relevant parties if meetings change or schedules need to be amended
  • Arrange travel and accommodation needs
  • Updating website and social media accounts
  • Maintenance of filing
  • Exercising discretion and maintaining the confidentiality
  • Reconcile expense reports and organize expense payments for meeting attendees
  • May be evening or weekend duties on occasion (but will typically be M-F)
Qualifications:
  • Minimum 3 years+ of experience at an Executive Assistant level
  • An advanced proficiency in Microsoft Word, Excel, and PowerPoint applications
  • Must have proven experience planning and coordinating large meetings and events
  • Must have above-average written and verbal communication skills. Professional writing and communication are key components of this role
  • Must be confident working independently
  • Strong critical thinking and problem-solving skills
  • Ability to manage multiple tasks simultaneously
  • Strong time management skills with exceptional organizational abilities
  • Accuracy and attention to detail
  • Positive, flexible, and adaptable personality
