David Aplin Group, one of Canada's Best Managed Companies, has partnered with our client to recruit for an Executive Assistant based in Mississauga, Ontario.

Our client in the merchant services industry is currently hiring for their office near the Airport. We are looking for a Mandarin speaking individual with 2+ years of experience in office administration and/or executive assistants to join our team to provide confidential administrative support to the Vice-President.

As Executive Assistant, you will work directly with the Vice-President of the Company to ensure smooth and efficient day-to-day operations within his/her tight schedule. 

 The Role:

  • Carefully monitor agenda and email for the Vice-President
  • Schedule and track appointments and meetings
  • Act as liaison between the Vice-President and other staff as well as external parties as needed 
  • Track / follow up on the status of key objectives/tasks with the heads of departments
  • Coordinate travel arrangements for the Vice-President and other staff, leveraging close familiarity of upcoming agenda to optimize travel plans and costs up to several weeks in advance
  • Provide administrative services to the Vice-President including preparation of materials for meetings and presentations; organization of hardcopy and electronic documents; screening and escalation of internal and external correspondence; drafting and sending of external communications on behalf of the Vice-President in English and Chinese; preparation and review of executive expense reports
  • Provide logistical support to the Vice-President including miscellaneous research and reporting; preparation and coordination of miscellaneous reporting (e.g. insurance claims); pick-up, delivery, and distribution of packages, mail, etc.; assistance on other ad-hoc business requests

The Ideal Candidate:

  • English and Mandarin/Chinese is a must
  • Excellent writing and communication skills
  • Self-starter with strong problem-solving skills that can carry out tasks with minimal supervision
  • Ability to work with ambiguity and rapidly changing/competing priorities
  • 2+ years’ experience in office administration/executive assistance
  • Experience in the payment/finance/banking industry is a bonus but not a requirement

Job Type: Full-time
Salary: $50,000.00+
