David Aplin Group, one of Canada's Best Managed Companies, has partnered with our client to recruit an Executive Assistant based on the Southside in Edmonton.

Reporting to the Controller, you will be responsible for a wide variety of administrative duties. Duties include but are not limited to management and supervision of reception, arranging travel plans, meeting minute-taking and distribution, scheduling appointments and drafting both internal and external correspondence. You will be required to maintain confidentiality and professionally interact with employees, management and the public. Due to the nature of this position, advanced Microsoft Excel and Word skills are required.

The Role:

  • Booking department and committee meetings, arranging travel and organizing catering
  • Review all documents, reports and correspondence for format, content, grammar and spelling
  • Taking meeting minutes
  • Distribution of monthly financial statement packages and binder updates
  • Release of cheques and EFT payments for all invoices
  • Review and code all expense reports for staff, committees and boards
  • Receive cheques daily and create control log of receipts
  • Accountable for forwarding and following up on the Accounting generic email box
  • Custodian of Petty Cash and Corporate Credit Card
  • Process new membership applications, track membership terminations and coordinate website updates
  • Supervise, manage and monitor receptionist position, including back up as may be required
  • Building maintenance, working and corresponding with Property manager on maintenance issues
  • Office administration - setting up appropriate vendors for office purchases
  • Distribution and tracking of employee parking passes
The Ideal Candidate:

  • 5+ years in an Executive  Assistant role
  • Experience in Accounting or Financial Sector preferred
  • Strong knowledge of office procedures and practices
  • Post-Secondary Diploma in Business Administration, or relevant discipline preferred
  • Strong knowledge of Word, Excel and PowerPoint
  • Professional, with a keen attention to detail
  • Strong interpersonal skills, ability to communicate well at all levels of the organization
