David Aplin Group, one of Canada's Best Managed Companies, has partnered with our client to recruit an Executive Assistant to the CEO.

Our client, a global business consulting firm in downtown Edmonton, is looking to find an experienced Executive Assistant to manage its large office setting. 

In this role you will support the innovative business driven CEO with his day to day schedule and corporate initiatives. 
This is a high-profile position for a polished professional with advanced administrative skills. The successful Executive Assistant will have the ability to work independently and use critical judgment skills when making decisions to move situations forward.

The Role:

  • Managing the CEO’s complex electronic calendar, organizing and confirming appointments and booking events for meetings based on priority as well as accommodating hourly changes. Meetings will include both internal and external often with multiple time zones
  • Coordinating travel arrangements, including flights, hotels and car rentals, travel agendas, out of country Visa’s 
  • Responding to the VP's calls and emails in a professional manner
  • Reviewing all documents, reports and correspondence for format, content, grammar, spelling and made edits as necessary
  • Distributing monthly insurance statement packages and binder updates for the committee
  • Preparing for meetings and conferences including booking rooms, organizing catering and preparing meeting agenda and materials, PowerPoint presentations, attending meetings and taking minutes, IT and AV equipment set up 
  • Preparing and organizing corporate and social events
  • Arranging monthly initiatives to keep committee on track with reducing risk and the frequency of claims arising from property, liability and automobile
  • Preparing expense reports and purchase orders to be reviewed by CEO and department leads before reconciling with corporate card
  • Main point of contact and liaison between senior leadership team
  • Managing monthly client billings
  • Processing requests for payment of invoices as needed
  • Troubleshooting desktop, printers, and other mobile electronics
  • Conducting and reporting on research projects
  • May provide work direction and oversee personnel
  • Coordinating with other Executive Assistants on major tasks
The Ideal Candidate:

  • At least 5 years of experience working as an Executive Assistant
  • Advanced Microsoft Word, Excel, and PowerPoint skills
  • Exceptional organization, prioritization and multi-tasking skills
  • Flexible and positive personality with a willingness to take on a variety of tasks
  • Ability to in a team focused environment
  • High level of professionalism, confidentiality and discretion
  • Ability to use critical judgment
  • Strong professional demeanor
