David Aplin Group, one of Canada's Best Managed Companies, has partnered with our client to recruit an Executive Assistant for a mat leave contract based in West Edmonton, AB.

Reporting to the Strategic Leadership Team of you will be responsible for a wide variety of administrative duties. Duties include but are not limited to management and supervision of reception, arranging travel plans, meeting minute-taking and distribution, scheduling appointments and drafting both internal and external correspondence. You will be required to maintain confidentiality and professionally interact with employees, management and the public. Intermediate Word, Excel and PowerPoint skills are needed for this position.

We are looking for someone with a personality that thrives in a high volume, administrative environment and with the skills to maintain an exceptional standard of service.


The Role:

  • Maintaining the Strategic Leadership Team meeting calendar and assist with scheduling
  • Book meetings, appointments and travel arrangements
  • Reviewing all documents, reports and correspondence for format, content, grammar, spelling and made edits as necessary
  • Attending committee meetings with the Strategic Leadership Team, record and distribute minutes
  • Arrange catering for all meetings and committees as requested
  • Filing for Strategic Leadership Team
  • Assist other Senior Executive Members with any administrative duties
  • Distribution of monthly statement packages and binder updates for the committee
  • Review and code all expense reports  
  • Responsible for mailing of all department invoices
  • Creating and maintaining, graphs, charts and any other visual props on stats
  • Coordinate website updates
  • Supervise, manage and monitor receptionist position, including back up as may be required
  • Building maintenance, working and corresponding with Property manager on maintenance issues
  • General office administration

The Ideal Candidate:

  • 4+ years in an Executive Assistant role with previous supervisory experience
  • Strong attention to detail and must have good work ethic
  • Strong knowledge of office procedures and practices
  • Intermediate knowledge of Word, Excel and PowerPoint
  • Strong interpersonal skills, ability to communicate well at all levels of the organization
