David Aplin Group, one of Canada's Best Managed Companies, has partnered with the Regina Airport Authority to provide them with an Executive Assistant / Corporate Secretary. This is a temporary 14-month contract.
The Corporate Secretary / Executive Assistant is a key member of the management team who reports to the President and CEO. The incumbent is responsible for providing a senior level and confidential administrative support which contributes to the effective and efficient operation of the office to the President and CEO and the Board of Directors and their respective committees. The position works independently and initiates work related to
its areas of responsibility in relation to the Board of Directors. As well, the position contributes directly to the administrative and operational success of the President and CEO office through the provision of confidential and executive level support activities.
To facilitate the process of administrative justice, particularly for operations of the Board of Directors and their respective committees
Perform executive level administrative duties for the office of the President and CEO
Anticipate requirements, identify, prioritize and prepare information for the President and CEO
Review all documents, reports, and correspondence prepared for format, content, grammar, spelling and make edits as necessary
Manage and prepare travel schedules, book travel arrangements, and make reservations for the President and CEO including the logistical coordination of meetings, dinners, workshops and events
Maintain records, minutes and documentation of the senior and management teams as required
Research, organize and assemble information and material to prepare correspondence, presentations, reports and draft letters of a confidential and sensitive nature for the President and CEO
Act as the official record keeper for the Board of Directors and their related committees. Attend all meetings of the Board and its committees and act as the confidential recording secretary and ensure proper records of all meetings are maintained
Distribute calls for agenda items, create and compile agendas, record minutes and coordinate the follow-up on all business matters arising from the meetings
Coordination and scheduling of meetings including coordination of agendas, meeting packages, facilities, and catering
Manage Board member’s attendance at meetings and events and track professional development programs for Board members
Process expenses and remuneration payments for Board members
Preparation of the annual Board budget for submission
The Ideal Candidate:
Post-secondary diploma in Business Administration or relevant discipline
Minimum 3-5 years’ experience in a similar role supported by the knowledge and understanding of governance, office administration and business principles
Firsthand knowledge of working with Senior Management and a Board of Directors
Executive level administrative and project management expertise
Demonstrated ability to support senior level executives and to work effectively with confidential and sensitive information
Capable of motivating and leading a team within a transparent work environment when collaborative relationships are encouraged and varied opinions are respected.
High level of critical and logical thinking, analysis, and reasoning to identify underlying principles, reasons or facts.
A self-directed and tenacious problem solver who can work well both independently and collaboratively within a team
Ability to secure a clear National Criminal Record through the internal pre-employment background screening process
Ability to obtain a Transportation Security Clearance within six months of hire.
