David Aplin Group, one of Canada's Best Managed Companies, has partnered with our client to recruit a Dynamic Administrative Assistant (temporary 4 month contract) based in South Edmonton.

Our client, a global project management firm, is currently seeking a dynamic administrative assistant to assist the Senior District management team. The position requires a diverse individual who can work as part of a team and with minimal supervision and is adaptable to a changing environment.

Confidentiality, attention to detail and intermediate skill level of MS Word, Excel and Power Point is crucial for this position.

The Role:

  • Maintaining department database and records management system
  • Processing expenses, invoices and purchase orders
  • Preparing website updates with approved content
  • Tracking statistical data
  • Coordinating event logistics, confirming attendance, creating invitations
  • Assisting with events and processing reports and travel authorization forms
  • Preparing event and focus group surveys
  • Compiling data and creating charts and reports
  • Confidentially liaising with committee members, internal groups and stakeholders
  • Managing the Senior Manager's schedule and acting as a gatekeeper for phone calls and emails
  • Preparing documents for the Director
  • Creating and distributing agendas 
  • Assisting the senior district management team with any other administrative duties 
  • Covering reception when needed
The Ideal Candidate:

  • 2 - 5 years of administrative experience
  • Previous experience in working special events is preferred
  • Outstanding communication skills
  • Familiarity with Records/ Information management and or library or survey software is an asset
  • Intermediate MS Word skills with the ability to draft memos
  • Intermediate Excel skills with the ability to create basic spreadsheets and enter data
  • Professional image and excellent customer service and interpersonal skills
  • Strong multi-tasking and time management abilities
  • Ability to work well independently with minimal supervision
