David Aplin Group, one of Canada's Best Managed Companies, has partnered with our client to recruit for a Corporate Receptionist.

This exciting opportunity provides excellent customer service and administration responsibilities to internal and external stakeholders while working in an environment where first impressions are very important.

The Role: 

  • Meeting and greeting internal/external clients, caring for their needs and ensuring they are fully accommodated and looked after.
  • Scheduling, coordinating and confirming appointments and meetings daily.
  • Responsible for ongoing client correspondence which may include birthday cards, greeting cards, gifts, event confirmation letters, appointment confirmation letters etc.
  • Update internal databases with competitive information, client concerns, decision making criteria and other pertinent information accurately.
  • Manage Accounts Receivable, accepting and processing payments.
  • Sending out invoices and following up on outstanding accounts receivables.
  • Preparing confidential statements to be distributed to clients.
  • Completing forms (investment and insurance applications).
  • Assisting with organizing and attending events, seminars and trade shows in conjunction with management by identifying, assembling and coordinating as required.
  • Managed the day to day activities of the office which include ordering office supplies, managing contractors, ordering couriers, handling mail, etc.
  • Participating in cross department projects bridging communication for the firm and their clients.
The Ideal Candidate

  • You will hold an administration certificate from a recognized educational facility.
  • You will have three to five plus years of experience working within a high-end firm or organization as a Receptionist or Front Office Person.
  • Have a polished professional appearance, you are challenging, caring and competent with people.
  • Are approachable to new ideas, direction and constructive criticism.
  • Your communication style is with enthusiasm, you enjoy responding to inquiries, questions and requests.
  • You take ownership of the tasks and responsibilities trusted to you, you can anticipate your executive's needs.
  • Experience with being trusted with sensitive and confidential information.
  • Intermediate to advanced MS Office skills (Word, Excel, PowerPoint and Outlook).
  • Basic accounting principle knowledge would be an asset (Accounts Receivable, generating financial statements).
  • An interest in investments, finance, or estate planning would be considered an asset.
