David Aplin Group, one of Canada's Best Managed Companies, has partnered with our client to recruit an AS5 Government Administrator based in Downtown Edmonton, AB.

Our client, government-based organization, is looking to an AS5 to fill a 3-month temporary period with the possibility of extension for the right person. This position provides administrative support to the Director as well as BRM team. Assisting with daily operations, the successful AS5 will work in tandem with the EA to the CIO.

The role:

  • Complex calendar management for the Director and back up support for the EA to the CIO
  • Processing and maintaining confidential information 
  • Reviewing incoming correspondence for Executive Directors, prioritizing issues and taking appropriate action. Assigning tasks, composing responses, bringing significant items to Director's attention
  • Research and complete travel arrangements for the Executive Directors as well as associated expense claims
  • Maintaining a 'bring forward' system and follow-up on items to ensure the timely completion of tasks
  • Preparing meeting materials and briefing notes prior to meetings and events
  • Completing financial activities such as p-card reconciliation, processing invoice and reviewing Directors expense claims 
  • Coordinating meeting logistics, address specific needs and support meetings taking minutes as needed

The Ideal Candidate:

  • At least 3-5 years of experience as an Administrative Assistant at AS5 level
  • Solid Microsoft Word skills with the ability to create correspondence and use templates and headers and footers 
  • Ability to accurately follow processes and producers  
  • Solid Microsoft Excel Skills with the ability to create spreadsheets and record and track data
  • Direct experience with Action Request Tracking System (ARTS) and Images
  • Experience with Share point
  • A quick learner with exceptional multi-tasking abilities
  • Excellent organizational skills and strong attention to detail
  • Experience with Action Request Tracking System (ARTS) and Images
