David Aplin Group, one of Canada's Best Managed Companies, has partnered with our client to recruit a talented Administrative Assistant to join their team for a 3 month contract.
Improves and sustains membership in designated project teams
Contributes to team meetings.
Reviews and edits material including with project partners
Supports project coordination, ensuring goals and procedures are followed.
Oversee the completion of all wire transfer documents (expense claims, invoices, contribution agreements, consultancy agreements).
Works alongside the finance department to prepare payment of invoices
Supports timely processing and payment of delegate and program related expenses.
Organizes cash request memos.
Assists with team travel including visa processing and submission;
Upholds an effective filing system
Observes approval processes as well as tracking documents for approvals, obtaining signatures on decision papers and terms of reference and keeps management updated
Ad hoc duties as required.
The Ideal Candidate:
Bachelor degree in administration or equivalent education or experience
2-3 years administrative experience.
Proficiency in both official languages (English and French) is required for this role
Strong written and oral skills
Advanced MS Office skills
Strong time- management and organizational skills
Autonomous worker with the ability to work in a fast-paced environment
Proven ability to meet deadlines
Analytical and problem solving skills
Strong team player who takes accountability for their role and duties
Excellent customer service skills
