Responsibilities:
  • Provide high-level administrative support to executives or project managers.
  • Coordinate and manage calendars, schedules, and appointments.
  • Assist in organizing and preparing meetings, conferences, and presentations.
  • Handle communication and correspondence, including emails, calls, and inquiries.
  • Prepare and distribute documents, reports, and presentations as needed.
  • Conduct research and gather information for projects or initiatives.
  • Assist in project management tasks such as scheduling, tracking progress, and allocating resources.
  • Coordinate travel arrangements and accommodations for executives or project teams.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Collaborate with internal teams and external partners as necessary.
  • Assist with financial organization tasks such as budget tracking, expense reports, and invoice processing.
  • Support in drafting and proofreading documents, including contracts, proposals, and agreements.
  • Manage and prioritize multiple tasks and deadlines effectively.
  • Provide administrative support during special projects or events.
Qualifications:
  • Bachelor's degree in Business Administration, Management, or related field.
  • Proven experience as an Executive Assistant or similar role, preferably in a corporate or project management environment. At least 4 years of experience - asset if candidate has a financial background!
  • Experience with project management software - Sauna experience is an asset! 
  • Strong organizational and time management skills with the ability to prioritize tasks.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with project management tools and software.
  • Ability to handle confidential information with integrity and discretion.
  • Detail-oriented with a high level of accuracy in work.
  • Adaptability and flexibility to work in a fast-paced environment.
  • Strong problem-solving skills and ability to think critically.
  • Knowledge of financial principles and experience in financial organization tasks is a plus.
  • Ability to work independently with minimal supervision while also being a team player.
  • Must be able to work long hours.
