This is an exciting opportunity for an experienced dispatch professional to play a key role within a busy Service Department. You will be responsible for coordinating and dispatching field technicians, managing incoming service requests, coordinating parts and materials, and ensuring technicians have the information and support they need to complete their work efficiently. - Compensation: $22-24/hour
- Please note, this role is fully in-office in the client’s Concord, ON office
- Monday to Friday, 8:00 AM–5:00 PM
- 1-year contract covering a maternity leave
Responsibilities
- Dispatch a group of technicians using internal software and other web-based programs
- Dispatch daily work orders and service trips, ensuring technicians have the required information to complete their assignments
- Follow up on missing information, including site contacts, alternate site contacts, contractor information, and job details
- Review and dispatch incoming service requests received through phone calls, Traxits, emails, and other channels
- Provide ongoing support to technicians regarding materials, parts, purchase orders, job information, site details, and previous visit findings
- Coordinate parts and materials as required to support field technicians
- Confirm parts information and locations and follow up on part availability, orders, and estimated delivery times
- Attach required documents to service trips and work orders
- Enter technician time entries, including statutory holidays and on-call hours
- Follow up on missing technician reports and ensure required information is received
- Maintain the dispatch dashboard, including placeholders, school assignments, training, and other scheduling requirements
- Communicate with technicians, customers, contractors, and internal teams to ensure service requests are coordinated efficiently
- Ensure service activities are completed in a timely and organized manner while following company policies and guidelines
- Support the Service Department with other administrative and coordination duties as assigned
Qualifications
- Minimum 1 year of dispatching experience is required
- Previous experience in service coordination, scheduling, field service, or a similar environment is an asset
- Strong computer skills with the ability to learn and navigate new software and web-based programs
- Experience with dispatching or service management software is an asset
- Excellent communication and interpersonal skills
- Strong problem-solving and organizational abilities
- Strong attention to detail and follow-up skills
- Ability to manage multiple priorities in a fast-paced environment
- High level of commitment to customer service
- Self-motivated with the ability to work independently and as part of a team
- Reliable, proactive, and organized approach to work
