We’re partnering with a well-established Calgary organization to recruit an experienced Executive Assistant for an immediate temporary opportunity.
This role will support multiple members of the Executive Leadership Team and is ideal for a polished, proactive EA who can quickly step into a busy environment and keep several executives organized.
This is expected to be a 2 month contract with potential for extension. Location is in office downtown Calgary.
What You’ll Be Doing
- Provide high-level administrative support to multiple senior executives.
- Proactively manage complex calendars, meetings, conferences and competing priorities.
- Coordinate travel arrangements, itineraries and executive logistics.
- Prepare professional correspondence, reports, presentations and other executive materials.
- Review and format documents and create polished PowerPoint presentations.
- Coordinate company meetings, functions and special events.
- Prepare and process expense reports, invoices and related documentation.
- Support procurement and accounts payable administration.
- Track and code timesheets and invoices related to projects.
- Assist with onboarding administration and system setup as required.
- Maintain organized electronic filing and confidential records.
- Provide additional executive and administrative support as priorities arise.
What We’re Looking For
- 7+ years of Executive Assistant experience, ideally supporting multiple executives simultaneously.
- Advanced Microsoft Office skills, including Outlook, Word, Excel, PowerPoint and Teams.
- Strong calendar management, meeting coordination and travel planning experience.
- Comfortable with mail merges in Word, Excel and Outlook.
- Excellent written and verbal communication skills.
- Strong attention to detail and ability to handle confidential information with discretion.
- Basic accounting knowledge and comfort working with expenses, invoices and financial information.
- Professional, polished and confident communicating at the executive level.
