Responsibilities
- Provide comprehensive administrative and practice support to lawyers within a busy commercial litigation practice
- Manage calendars, meetings, appointments, and scheduling requirements
- Coordinate internal and external meetings, including conference rooms and related arrangements
- Assist with travel arrangements, correspondence, printing, scanning, couriers, and general administrative tasks
- Open and close files and maintain organized electronic and physical filing systems
- Coordinate with internal support teams to ensure document production and administrative tasks are completed accurately and on time
- Prepare, format, and review correspondence, legal documents, reports, presentations, and other materials
- Handle urgent and confidential correspondence and emails as required
- Assist with client communications, meeting coordination, and general inquiries
- Support lawyers with pitches, presentations, marketing, and business development activities
- Assist with time entry, pre-bills, billing, and other financial administration
- Liaise with lawyers, clients, and internal departments to ensure smooth day-to-day operations
- Provide support to other members of the team as required
Qualifications
- Legal Administrative Assistant Certificate from an accredited institution
- 3–5 years of experience working as a Legal Administrative Assistant or in a similar legal support role
- Solid understanding of commercial litigation and related court filing and service procedures
- Strong knowledge of Microsoft Word, Outlook, Excel, PowerPoint, and legal research tools
- Experience with ACL, iManage, PrimaFact, or similar legal technology is considered an asset.
- Excellent communication, organizational, and time-management skills
- Strong attention to detail and ability to manage competing priorities
- Ability to anticipate needs, take initiative, and work independently
- Professional telephone manner and strong client service skills
- Ability to remain calm under pressure and work effectively to tight deadlines
- Flexible, dependable, conscientious, and team-oriented
- Typing speed of approximately 60 words per minute
