Responsibilities
- Manage calendars, schedule meetings/workshops, organize travel, and reserve rooms
- Draft communications, prepare reports, and coordinate with internal/external stakeholders
- Support meeting prep: create agendas, take minutes, follow up on action items
- Assist with project coordination (timelines, documentation, team support)
- Ensure confidentiality and handle sensitive communications with discretion
- Use tools like MS Teams, SharePoint, PowerPoint, Word, Excel to prepare and manage documents
- Facilitate SAP program activities: planning, scheduling, tracking deliverables
- Prioritize urgent issues and direct matters using available technologies
- Coordinate logistics for Director and Managers (meetings, events, seminars, travel)
- Other administrative duties as assigned
Qualifications
- 3 plus years of experience as an Administrative Assistant with related experience and post secondary education in Business Administration
- Strong multitasking, attention to detail, and organizational skills
- Proactive problem-solver with excellent communication and interpersonal skills
- Skilled in Office 365, MS Teams, SharePoint, PowerBI, SAP, HRMS
- Comfortable handling confidential information with professionalism
- Experience guiding junior staff is an asset
- Strong business writing, grammar, and documentation skills
- Criminal background check is required
