We’re hiring a detail-oriented Administrative Assistant to support an Education programming team during a busy period. You’ll provide front-line member support, keep databases accurate and up to date, and help produce polished materials for committees, meetings, and events. This role is ideal for an experienced administrative professional who thrives in a service-driven, deadline-focused environment.
This is a 4-week contract (potential for extension), located NE Calgary, starting on August 25th.
What You’ll Do
- Member support: Answer and triage calls from members; capture updates and resolve information issues.
- Data accuracy: Update member records (including subgroups, schools/divisions, life/non-life pensioners); investigate and correct membership type errors to support accurate counts and reporting.
- Materials & events: Create, proofread, edit, package, and distribute documents for committees, presentations, workshops, and events.
- Stakeholder liaison: Communicate with internal teams and external contacts (e.g., payroll departments) to reconcile member details and request outstanding dues information.
- Records & reporting: Maintain organized files and databases; prepare routine reports and correspondence.
- General admin: Open and action incoming mail; uphold brand/document standards; assist with special projects as assigned.
What You Bring
- Education: Post-secondary diploma or degree in a related field is required.
- Experience: 3+ years of administrative experience with high accuracy in typing, proofreading, spelling, punctuation, and grammar.
- Judgment & confidentiality: Comfortable handling sensitive inquiries and confidential information with professionalism.
- Communication: Excellent written and verbal skills; strong relationship-building ability.
- Technical: Strong Microsoft Word & PowerPoint skils required; Excel an asset.
- Experience with membership/CRM databases is an asset.
- Language: French/English bilingualism (written and spoken) is an asset.
