Stacey Danley at Aplin has partnered with our client, the office of an elected official, on the search for an Executive Assistant. Located on the north side of Winnipeg, the successful candidate will play a key role in the smooth operation of the office.

Please note that this is a full-time permanent in-office role. Hours are Monday-Friday 830-430 or 9-5. An occasional evening or weekend may be required to attend an event. A vehicle and a valid driver’s license are required.

Responsibilities:

  • Responding to inquiries in person and over the phone from the public
  • Creating and formatting documentation such as letters and memos
  • Managing an appointment calendar
  • Coordinating meetings and recording and distributing minutes
  • Updating spreadsheets and databases
  • Data entry of expense reports
  • Monitoring and tracking data on projects
  • Conducting research and preparing summaries
  • Updating social media accounts

Qualifications:

  • 5+ years of administrative experience in a professional office environment
  • An ability to communicate effectively
  • Strong planning and organizational skills with the ability to prioritize work
  • An eye for accuracy and detail
  • Proficiency with MS Office and a minimum typing speed of 55wpm
  • An ability to establish positive working relationships with staff
  • Strong interpersonal skills and an ability to answer questions from the public
  • An ability to exercise discretion and maintain confidentiality
