If you excel at being an essential administrative and organizational resource and have expertise in SharePoint, this role could be perfect for you. This position plays a key role in driving operational efficiency and process improvements. The selected candidate will support various departments by managing information flow, coordinating projects, and facilitating organizational initiatives.

Key Responsibilities:
Administrative Project Coordination & Support (25%)
  • Coordinate and support cross-departmental innovation and improvement initiatives.
  • Track progress and document impact metrics for ongoing projects.
  • Manage small to medium-sized initiatives by collaborating with relevant teams.
SharePoint & Document Management (20%)
  • Administer and update the organization’s SharePoint site, managing document uploads, version control, and compliance.
  • Partner with IT to ensure SharePoint integration across the organization, with content that is up-to-date and accessible.
Policy, Process & Procedure Coordination (25%)
  • Champion standardized processes and procedures internally.
  • Assist with documenting, updating, and auditing procedures in line with company standards.
  • Provide training and support for departments on proper use of templates and tools.
Innovation Pipeline Administration (15%)
  • Manage the innovation pipeline, logging new ideas, tracking progress, and following up on initiatives.
  • Contribute to the continuous improvement of the pipeline.
Reporting & Metrics (10%)
  • Develop and manage reports on innovation initiatives, offering insights on adoption rates and success metrics.
  • Collect and compile feedback to support program improvements.
Additional Administrative Duties (5%)
  • Ensure compliance with regulations, such as the Real Estate Act, Privacy Act, and Business Corporations Act.
  • Maintain a comprehensive procedure manual to support training and succession planning.

Candidate Qualifications:
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, Teams, Visio).
  • Experience with project management tools (e.g., Smartsheet, JIRA, MS Project).
  • Advanced skills in Microsoft SharePoint, including page creation, site administration, and content management.
  • Strong organizational and time management abilities, with the capacity to work independently.
  • Excellent verbal and written communication skills.
  • Proactive, adaptable, and skilled in prioritizing and managing multiple tasks in a dynamic environment.
  • Strong interpersonal skills to facilitate team collaboration.
