As a Project Coordinator in our client's woodworking manufacturing facility, you will be vital in supporting Project managers and production teams. Your responsibilities will range from the initial planning stages of projects to their completion. You will ensure smooth workflows, effective communication, and strict adherence to quality standards and deadlines.

Key Responsibilities:
1. Project Coordination:
  • Develop and maintain project timelines using project management software
  • Schedule and attend project meetings, taking and distributing minutes
  • Monitor project progress and alert managers to potential delays or issues
2. Documentation Management:
  • Create and organize project files, both physical and digital
  • Maintain up-to-date project documentation, including specifications, drawings, and change orders
  • Ensure all team members have access to the latest project information
3. Material and Inventory Management:
  • Assist in creating bills of materials for projects
  • Place orders for required materials and track deliveries with purchasing manager
  • Monitor inventory levels and assist with stock reconciliation
4. Communication and Liaison:
  • Act as a point of contact for internal teams, suppliers, and clients
  • Facilitate information flow between different departments
  • Escalate issues to appropriate team members or management
5. Reporting and Analysis:
  • Compile data for project status reports
  • Prepare presentations for client meetings and internal reviews
  • Assist in analyzing project performance metrics
6. Quality Control Support:
  • Help implement and maintain quality control procedures
  • Assist in conducting quality checks at various project stages
  • Document and report quality issues for resolution
7. Financial Management:
  • Help track project expenses and update budget spreadsheets
  • Assist in preparing invoices and processing payments
  • Flag any budget discrepancies or overruns
Requirements:
  • Education: Associate degree in business administration, construction management, or a related field.
  • Equivalent experience as a red seal tradesperson may be considered.
Technical Skills:
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Ability to read, interpret, and analyze architectural and shop drawings
  • Experience with project management software
  • Familiarity with CAD software is a plus
Knowledge:
  • Basic understanding of woodworking processes and terminology
  • Familiarity with construction or manufacturing project lifecycles
  • Knowledge of safety regulations in a manufacturing environment
Soft Skills:
  • Excellent organizational and time management skills
  • Strong written and verbal communication abilities
  • Detail-oriented with a focus on accuracy
  • Ability to multitask and prioritize in a fast-paced environment
  • Team player with a proactive attitude
Experience:
  • 1-2 years of experience in a similar role preferred
  • Previous exposure to woodworking or manufacturing environments is a plus
