Executive Assistant 80-90K base + bonus (hybrid)
Reporting to the CEO, you will prepare and organize meetings, manage correspondence and schedules, arrange travel, and prepare documents, reports, and presentations.

You are a highly organized, resourceful, critical thinker with a natural ability to solve problems independently. It will be important for you to build effective relationships with different departments and levels in the organization, as well as external clients and stakeholders.

Responsibilities:
  • Effectively manage the CEO’s calendar and their relationship with stakeholders, including internal team members, external clients, and external stakeholders.
  • Collaborate with the team to identify and prioritize high-impact activities that contribute to success.
  • Make informed decisions to prioritize and maximize their daily schedule, while identifying and communicating task prioritization.
  • Create, prepare, and organize presentations for internal and external speaking engagements.
  • Organize and prepare meetings, including deck preparation and creation, alignment of calendars, travel, and accommodations.
  • Translate storyboard brainstorms into PowerPoint slides, and structure messages from storyboards.
  • Generate daily and weekly status updates, establish and maintain various reports, conduct report generation and forecasting, and consolidate and prepare reports in multiple formats.

Requirements:
  • Completion of a university degree or college diploma.
  • An experienced administrative professional. You have at least 7-10 years of experience as an Executive Assistant in a highly confidential and fast-paced environment.
  • Tech Savvy. You have solid knowledge of MS Office 365 including Word, Teams, Excel, PowerPoint, and Outlook.
  • Excellent verbal and written communication skills. Your interpersonal skills are above par and as a result, you are able to interact with a wide range of individuals.
  • Detail-oriented, resourceful, and an effective problem solver. Your critical thinking skills help you make informed decisions with limited guidance.
  • Show tact, diplomacy, and discretion in handling information of confidential and/or sensitive nature.
  • Able to demonstrate a strong aptitude to prioritize tasks based on comparative importance and urgency.
  • Exhibit a high degree of professionalism, collaboration, and dependability, with a proactive “can do” attitude.
  • Business analyst experience and the ability to learn quickly as you will be exposed to all aspects of the business.
  • Exceptionally intelligent and currently in a position where your full potential is not being fully utilized, and your abilities are not fully recognized.
  • Able to keep track of things, follow priorities, and juggle work and meetings to match those priorities.
