Responsibilities:
- Guide new applicants through licensing requirements under relevant legislation, ensuring a clear understanding of all necessary steps.
- Process eligibility applications, verify documentation, and confirm completeness.
- Coordinate receipt and verification of collateral inspection reports, insurance, and corporate status documentation, with attention to municipal regulations.
- Data entry, image capture, and initial assignment of new facilities within ASTRAL.
- Acknowledge and track reportable incidents, verifying details and escalating issues as necessary.
- Respond to complaints received by phone and email, gathering relevant details, and referring as appropriate.
- Maintain digital and paper records, redacting sensitive information as required.
- Address public inquiries on licensing and complaints, providing accurate information and referrals.
- Draft and process correspondence for the licensing office, supporting FOIP requests and ongoing projects.
- Participate in continuous improvement activities, identifying trends and suggesting process enhancements.
- Act as a backup to the Business Analyst, providing critical support.
Qualifications:
- High School Diploma with four years of related experience in administrative or regulatory roles.
- Proficiency in time management, with strong prioritization skills to handle a variety of responsibilities.
- Exceptional attention to detail and accuracy, especially in document verification and data entry.
- Solid understanding of operational policies, Health Information Act, and FOIP regulations.
- Competence in records management and electronic file organization.
- Ability to work independently, with excellent verbal and written English communication skills.
- Intermediate proficiency in Microsoft Word, Excel, Outlook, and Adobe Pro.
- Skilled multi-tasker, self-starter, and collaborative team participant.
