Responsibilities
  • Manage office communications including emails, phone calls, and correspondence.
  • Schedule and coordinate meetings, appointments, and events.
  • Prepare and edit documents, reports, and presentations.
  • Maintain and organize physical and digital files and records.
  • Assist students with enrollment, registration, and academic inquiries.
  • Support faculty with administrative tasks such as copying, filing, and classroom preparations.
  • Coordinate with various departments to facilitate smooth operations.
  • Act as a liaison between students, parents, teachers, and administrative staff.
  • Translate documents and communications for non-English speaking stakeholders.
  • Organize and coordinate language-specific programs or events.
  • Monitor and manage office budgets and expenses.
  • Order and maintain office supplies and equipment.
  • Assist in the preparation of financial reports and records.
  • Maintain databases and ensure data accuracy and confidentiality.
Qualifications
  • High school diploma or equivalent, with at least two years of administrative assistant experience
  • Additional certifications in office administration or related fields are advantageous.
  • Proficiency in English and at least one of the following languages: German, Spanish, or Japanese.
  • Preference for candidates who are fluent in more than one of the aforementioned languages.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with office management software and databases.
  • Strong communication and interpersonal skills.
  • Excellent organizational and multitasking abilities.
  • Prior experience in an administrative role, preferably within the education sector.
  • Experience in a multicultural or multilingual environment is a plus.
  • High level of discretion and confidentiality.
  • Detail-oriented and problem-solving skills.
  • Ability to work independently and as part of a team.
  • Adaptability and willingness to learn new skills.
  • Experience in translating and interpreting between English and the preferred language(s).
  • Experience in coordinating and managing projects.
  • Ability to handle multiple tasks and projects simultaneously.
