Join a top employer and advance your career. Aplin has partnered with a division of the Government of Alberta to hire an Administrative Assistant for their downtown office. 

This is a 3-month contract with potential for extension. 

The successful candidate will be responsible for providing comprehensive administrative support to ensure the smooth operation of the office. This role involves managing various administrative tasks, tracking requests, coordinating appointments, and offering general administrative assistance.

  • Track requests through ARTS, Bernie, and Service Now platforms.
  • Manage calendars and appointments for director/branch staff.
  • Create tasks and reminders in Outlook to ensure timely completion of assignments.
  • Organize and prioritize incoming requests to maintain efficiency.
  • Follow up on inquiries and questions from the public with professionalism and attention to detail.
  • Monitor deadlines within the office and provide timely reminders to executives as needed.
  • Provide general administrative support as required by the team.
  • Support director/branch staff in scheduling meetings and appointments.
  • Manage office supplies inventory and coordinate orders.
  • Assist in software and hardware procurement processes.
  • Draft agendas and prepare meeting materials as necessary.
  • Proven experience in administrative support roles, preferably in a government or corporate environment.
  • Proficiency in using ARTS, Bernie, Service Now, and Outlook for task management and communication.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Excellent communication skills, both written and verbal.
  • Detail-oriented approach with a focus on accuracy.
  • Proficiency in Microsoft Office Suite.
  • Bachelor's degree or equivalent experience preferred.
