At DAR, we value our support staff and see our Branch Administrator as a key person in the office. This is much more than just a receptionist position. You will be the front-line "manager of first impressions" for our firm, so it is imperative that you have a cheerful, courteous attitude in order to give clients/candidates a positive impression of DAR. To be successful in this role, you must be quick, energetic, bright, positive, self-motivated, organized, and resourceful. You must have excellent communication and interpersonal skills, be very well versed on MS Office and be able to take initiative.

There is much variety in this role, and you will be required to multi-task on a minute to minute basis. Your responsibilities will include but not be limited to:

Responsibilities:
  • managing switchboard operation and overseeing general reception;
  • greeting candidates with "Legendary" service,
  • greeting clients and assisting recruiters with in-office client hospitality;
  • managing office mail, including in and out of town couriers;
  • checking fax program and forwarding faxes to recruiters;
  • distributing resumes from general e-mail inbox;
  • scanning documents and emailing;
  • tidying kitchen in the morning and afternoon;
  • managing office supplies and ordering from preferred suppliers;
  • managing marketing/promo materials inventory and ordering;
  • developing "power-user" knowledge of office equipment (i.e. telephone system, fax machine, copier, postage machine) and acting as key contact;
  • assisting head office with weekly temp payroll processing;
  • maintaining contact information in client/candidate database (Maxhire);
  • updating internal forms, lists and letters;
  • acting as primary building contact for security & maintenance staff, handling requests for office repairs as required;
  • carrying out candidate background checks including BackCheck and degree verification;
  • acting as a liaison between the corporate office and the Edmonton office;
  • assisting branch manager in a quasi Executive Assistant manner:  scheduling meetings; preparing documents and reports; liaising with vendors/suppliers; coordinating staff functions;
  • helping to organize client functions, monthly candidate seminars, and other special events; and
  • miscellaneous tasks including, but not limited to, word processing, data entry into database, ordering lunch/breakfast for clients, ordering flowers/gifts for clients, photocopying and faxing.

Requirements:
  • minimum 2 years of administrative experience
  • proficient in all MS Office applications
  • ability to effectively organize and prioritize
  • strong verbal and written communication skills
  • excellent interpersonal skills

This role will offer variety in your day-to-day activities but will require the patience, professionalism, and organizational skills of a strong support person.

Your hours of work will be from 8:30 am until 5:00 pm Mon-Fri, with an hour lunch break.  Flexibility and occasional overtime is required.

You will report to the Vice-President, Edmonton, but will be required to support all office staff.
